Facilities & Maintenance Coordinator

Position Type: Part-Time (approximately 20–25 hours per week)
Reports To: Executive Director
Works Closely With: Shelter Manager, Housing Manager, Inn Team Manager, Drop-By Manager
Location: Newmarket, ON (multi-site)

Position Summary

Inn From the Cold (IFTC) is seeking a Part-Time Facilities & Maintenance Coordinator to support the day-to-day upkeep, maintenance, and safe operation of its facilities, including a newly constructed multi-level shelter and transitional housing building (approximately 16,000 sq ft), two drop-by locations and multiple community-based housing locations under the Please Come Inn (PCI) program.

This is role is focused on routine maintenance, coordination of cleaning and seasonal services, responding to day-to-day building issues, and supporting staff with facility-related needs. The role works closely with external contractors and the commissioning agent for more technical building systems, while handling practical, on-the-ground facilities tasks internally.

Key Responsibilities

Day-to-Day Facilities & Maintenance

  • Carry out regular walk-throughs of all sites to identify maintenance, safety, or cleanliness issues.
  • Perform basic repairs and maintenance (e.g. light fixtures, minor plumbing fixes, hardware, touch-ups).
  • Respond to day-to-day facilities issues and coordinate follow-up as needed.
  • Maintain simple maintenance logs and track outstanding issues.

Cleaning, Waste & Seasonal Services (Coordination)

  • Coordinate cleaning services and ensure spaces are ready for daily use.
  • Order and restock basic cleaning and maintenance supplies.
  • Oversee garbage, recycling, and organics areas and arrange bulk waste removal when required.
  • Coordinate snow plowing, salting, and seasonal grounds maintenance, working with the Inn Team and external vendors.
  • Support clean-ups during move-in, seasonal changeovers, or high-use periods.

New Building Support

  • Support the transition into the new building by:
    • Tracking deficiencies and warranty items
    • Supporting pre-move-in and post-construction cleaning
    • Acting as the day-to-day facilities contact for staff.
  • Work alongside the commissioning agent and contractors on more complex building systems, escalating issues as required.

Health, Safety & Security (Operational Support)

  • Support basic fire safety and emergency readiness tasks (e.g. checking exits, extinguishers, lighting).
  • Assist with key and fob management and basic access control.
  • Flag safety concerns to management and support follow-up.
  • Support and coordinate facilities-related inspections and follow-up, including those conducted by the Region and other regulatory bodies.

Vendors & Contractors

  • Coordinate service calls with external vendors (HVAC, electrical, plumbing, waste, snow, etc.).
  • Be on-site as needed during contractor visits.
  • Ensure work areas are left safe and clean.

Qualifications & Experience

  • 3–5 years’ experience in building maintenance, facilities support, or property operations.
  • Hands-on maintenance experience strongly preferred.
  • Experience in shelters, housing, community services, or similar environments is an asset.
  • Comfortable working in active, client-serving environments.
  • Practical problem-solver with good organizational skills.

Working Conditions

  • Hands-on, on-site role with some physical activity required.
  • Occasional availability outside regular hours for urgent issues.
  • Exposure to cleaning products, waste areas, and light maintenance work.
